As a Staffing Coordinator at Allegheny Alliance, you will play a vital role in ensuring the efficient and effective allocation of professionals to meet staffing needs. You will collaborate with internal departments and external stakeholders to coordinate scheduling, manage employee records, and facilitate the recruitment and onboarding processes. Responsibilities:

  1. Staffing Coordination:
    • Collaborate with department managers to understand staffing needs and develop effective staffing schedules.
    • Coordinate and schedule shifts, ensuring adequate coverage for all departments and facilities.
    • Maintain accurate and up-to-date employee records, including availability, certifications, and preferences.
    • Monitor and manage employee time-off requests, ensuring proper staffing levels are maintained.
  2. Recruitment and Onboarding:
    • Assist in the recruitment and selection process for professionals, including posting job openings, screening resumes, and conducting initial interviews.
    • Coordinate and facilitate the onboarding process for new hires, ensuring all required documentation, training, and certifications are completed.
    • Collaborate with the HR department to ensure compliance with hiring policies, procedures, and regulatory requirements.
  3. Communication and Documentation:
    • Serve as a primary point of contact for staff regarding scheduling, shift changes, and general inquiries.
    • Communicate staffing changes, updates, and reminders to employees and relevant stakeholders.
    • Maintain accurate and organized records of employee credentials, certifications, and performance evaluations.
    • Prepare and distribute reports related to staffing, attendance, and other relevant metrics.
  4. Compliance and Quality Assurance:
    • Ensure compliance with regulatory requirements, industry standards, and internal policies related to staffing and employee records.
    • Monitor and maintain employee compliance with required certifications and licenses.
    • Collaborate with quality assurance teams to ensure adherence to quality standards and best practices.
  5. Process Improvement:
    • Identify opportunities for process improvement and propose solutions to enhance staffing efficiency and effectiveness.
    • Participate in the implementation and optimization of scheduling and staffing software or systems.
    • Provide feedback and suggestions to improve recruitment, onboarding, and employee retention strategies.

Qualifications and Skills:

  • High school diploma or equivalent. Associate or bachelor’s degree in a related field is a plus.
  • Proven experience in staffing coordination or a similar role, preferably in the industry.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with employees and stakeholders at all levels.
  • Proficiency in using scheduling software or workforce management systems.
  • Basic understanding of human resources principles and employment regulations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to adapt to changing circumstances.
  • Ability to work independently and collaboratively in a team environment.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook).
